Sapienza Consulting, a tpgroup company, is recruiting an Admin Assistant to join NATO – NCIA in Mons, Wallonia, Belgium.

Responsibilities

  • Provide administrative support ensuring good office management for the efficient daily operation of the Front Office
  • Support staff with training requests and training planning
  • Assist in quality control of documents and briefings
  • Organise meetings, write correspondence/memorandums/reports and prepare briefings as required
  • Assist staff members with in/out-processing
  • Raise ITSM tickets for account creation/closure or IT equipment
  • Enter relevant information in EBA along with supporting documentation
  • This includes purchase orders and requisitions
  • Assist in determining, controlling and maintaining the daily information flow, including e-mail traffic within NDWC
  • Initiate follow-up actions as appropriate
  • Assist in ensuring that correspondence and documents are prepared in accordance with the Agency’s official document formatting guidelines and language is corrected where necessary
  • Assist in maintenance of NDWC portal
  • Assist staff in following procedures in accordance with NATO and Agency directives
  • Liaise with staff of the Agency and external stakeholders on issues relating to the organisational element
  • Keep a track record of internal IT requirements and assets
  • When required deputises higher grade staff

Profile

  • Required Security Clearance: NATO Secret
  • We are looking for a candidate who holds a Vocational training at a higher administrative level in a relevant discipline or equivalent combination of qualifications and experience
  • In addition to at least 3 years progressively responsible administrative jobs
  • You will be required to demonstrate skills in use of office automation packages, particularly Microsoft applications, and experience in maintaining an established web page or web portal on SharePoint
  • Knowledge of Agency tools (EBA, Tasker Tracker, SharePoint) and processes
  • Ability to take initiative and a flexible approach allowing the incumbent to respond reliably and competently to changing requirements in a demanding environment
  • Excellent inter-personal skills and the ability to be responsive and sensitive to both external and internal customers and staff
  • Excellent command of spoken and written English, with ability to communicate effectively orally and in writing
  • French language would be an advantage
  • Recent experience of working in an international environment comprising both military and civilian elements
