We respect your privacy and your rights to control your personal data. Our principle guidelines are simple: We will be clear about the data we collect and why. We will make sure that your personal data are adequately secured.

With this Privacy Statement (the ‘Statement’), we inform you about the personal data we collect from you, either directly or indirectly, and how we will use it. Personal data is any information that can be used to identify you or that we can link to you. This Statement applies to visitors and registered users of the Space-Defence-Security-Jobs website (the “Website”).

The Space-Defence-Security-Jobs website is a project of AI Recruiting B.V. Please read this Statement carefully to understand how AI Recruiting B.V. may collect, use and share your personal data. The terms ‘we’, ‘us’, or ‘AI Recruiting’ are each intended as a reference to AI Recruiting B.V. and our affiliated companies, subsidiaries and holdings.

1 What personal data do we collect about you and how long do we keep it?

1.1 Registered job applicants

When you register as a user, we save the data you input, so it will be available to you later. The data we ask for includes the following: name, country, phone, email, password, job alert preferences, record of sent applications and favourite (saved) jobs. If you want to save your CV for later use and in order to be found by potential employers, we will store your CV, including all the personal data it contains.
We check the user accounts every two years to see if there are users who have not been using their account during that time. To users who have not been active, we will send an email asking them if they want their profile to remain active.
When you use your social media account for registering to Space-Defence-Security-Jobs, we only receive your name, profile picture and email from your social media provider. This information will be automatically pre-filled into the registration form for you.
If you are on a webpage that uses social media add-ins, your browser sends certain information to the provider of your social media account. We do not control this data sharing.

1.2 Candidates applying as a guest

We process the personal data you voluntarily provide to us when you apply for a vacancy as a guest. This includes your name, country, phone number and e-mail address. We also send this data forward to the organisation you are applying to.
Before uploading your CV to the application, you get to choose whether to send the CV to AI Recruiting beside the organisation to which you are applying. In case you decide to share your CV with us, you may be contacted by AI Recruiting or one of our group companies for matching job positions. In the future, your CV and other data may also be used to suggest suitable jobs to you or to help potential employers find you and contact you.
We will check activity every two years and contact inactive users to ask them if they want us to keep their data. Legal retention periods or other compelling reasons (such as legal claims) may require us to retain your data for a longer period.

1.3 Chatbot conversations

When you use the chat function on the Website, we collect information that you voluntarily provide to us in the conversation. We collect your answers in response to the questions asked by the Chatbot, as well as the attachments you upload to the bot or send to us, such as your CV. We do not and will not create questions related to special categories of personal data, such as your political opinions or health.
The prime purpose of collecting your data via the Chatbot is to allow you to: find jobs that match your CV, apply for a job in a way that is convenient to you and ask you the preliminary questions that recruiters would usually ask job candidates when contacting candidates for the first time. In the future, your CV and other data may also be used to suggest suitable jobs to you or to help potential employers find you and contact you.

1.4 Job Alerts Subscribers

Our websites contains a form for job alerts, which you can fill in if you want to be informed of interesting jobs posted on the Website. We will store your email and the preferences you enter for the job alert in MailChimp.
Every time we send you a job alert, you have the possibility to unsubscribe and stop receiving the emails. You can also change your job alert preferences at any time.

1.5 Employer Account Users

Employers wanting to recruit qualified job candidates may also use the Website. To post a job or to advertise on the Website, you will need to create an Employer’s Account. For this purpose, we will ask you to fill a form with some personal information that we will store. This will include, amongst others, the following information about the contact person: name, email and title, as well as a password.
We process your personal data because this is necessary for the performance of a contract we have with you or in order to take steps at your request prior to entering into a contract. We also process your personal data because this is necessary for the purposes of our legitimate interests, such as to improve our services, to maintain our relationship and to facilitate the recruitment process. We only send newsletters and other commercial mailings to (prospective) customers with your explicit consent or when we have collected your details from the public domain and are satisfied that we may use these details to contact you.
We retain your personal data for no longer than necessary for the purposes concerned. Contact details of customers are in principle retained for two years after the latest transaction, unless we are legally obliged to retain the data for longer or when there are other compelling reasons for us to keep your data (such as for legal claims). In case of newsletters or other commercial emails that we might send, you can unsubscribe at any time. Your details will then be deleted from the mailing list.

When you visit our websites, we may automatically collect information about your use of the website or information collected by cookies and similar technologies when you use, access or interact with the website. Please read our cookie statement here.

2 With whom do we share your personal data?

2.1 General

We may disclose your personal data to any member of our group companies, which means our affiliates, subsidiaries and our holding company.
If you submit your CV and/or application through the Website, we will naturally share this personal data with the organisation that was advertising the job you are applying to.
Finally, we may share your personal data with law enforcement authorities or in legal proceedings or in any other situation when required by law.

2.2 Processors and data transfers

We use a variety of third-party vendors to carry out services, such as hosting, maintenance and development of the website, sending newsletters, data analysis, facilitating user interaction, including chatbot conversations, and creating reports. We only share your personal data as necessary. These vendors may only process the personal data on behalf of AI Recruitment and for the purposes described in this Statement.
We only act as an intermediate between the job candidate and the employer. Once you submit an application, to ensure that we properly perform our contractual obligations to you as a candidate, we will transfer the data provided by you to the employer organisation. Please note that this might be an international organisation or an employer outside the European Economic Area (EEA). After submission, the processing of your data by the employer is not covered by this Statement but by the (possible) privacy statement of the employer.
In the future, we may share job candidate data with third parties who are potential employers to respect our contractual obligations. These third parties may be from a country outside the European Economic Area (EEA) or an international organisation. We will implement safeguards to try to ensure that your personal data are adequately secured during the data transfer and by any third party that will access your data. These third parties are only allowed to use your data for the purposes that we received your data but we still request that you don’t include sensitive information in your CV for this reason.

2.3 Links to websites of third parties

Our website may, from time to time, contain links to applications or external websites (for example when clicking the link to share a job in social media). If you follow a link to any external website, please note that these websites have their own privacy policies and website terms and we do not accept any responsibility or liability for these policies. We advise you to read the privacy policies of those websites.

3 Security of information

We work hard to protect your personal data from unauthorised or unlawful access, alteration, disclosure, use or destruction. That way, unauthorised persons do not have access to your data.
Where we have given you (or where you have chosen) a password which enables you to access certain parts of our website, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website and you acknowledge that any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features which are appropriate to the type of personal data you have provided to try to prevent unauthorised access or inadvertent disclosure.
Amongst others, we take the following measures to protect your personal data:

  • Encryption of digital files that contain personal data
  • Secure network connections with Secure Socket Layer (SSL) technology or a technology that is similar to SSL
  • Automated processes in checking all installations on the platform for blacklisted plugins, themes and other bad-code. Proactively informing account-holders and disabling the malicious code before causing harm.
  • Advanced authentication mechanism on top of the WordPress stack improving security, blocking brute force attacks and blocking potential faulty logins.
  • Cache / Security layer blocking most known hacking attempts. New threads can be blocked over the whole platform which keeps all sites secure as soon the fix is known.
  • Security is a key aspect when selecting plug-ins for the website.
  • The access to the data is limited to the persons that need the data
  • AI Recruiting makes use of the services of third parties with guaranteed services through data protection and security guarantees.
  • Physical security and security of equipment: IT facilities and equipment are physically protected against unauthorised access and against damage and malfunctions. The protection provided is in line with the identified risks.
  • All systems are protected by user names and complex passwords.
  • AI Recruiting and its affiliates regularly check and evaluate whether the security measures within the organisation have actually been taken care of and are being observed by its employees. They also periodically assess whether the security level still fits the risks involved in the processing and the nature of the data to be processed and whether the security measures are still satisfactory.
  • All employees of the organisation and, where applicable, hired staff and external users receive suitable training on the information security policy and the information security procedures of the organisation, as far as relevant for their function. Within this training, explicit attention is paid to dealing with (special or otherwise sensitive) personal data.
  • There are procedures in place to allow authorised users to access the information systems and services they need for the performance of their tasks and to prevent unauthorised access to information systems. The procedures cover all phases in the lifecycle of user access, from the initial registration of new users to the final opt-out of users who no longer need access to information systems and services (entry and exit). Where applicable, special attention is paid to managing access rights for users with extra-wide powers, such as system administrators.
  • Activities that users perform with personal data are recorded in log files. The same applies to other relevant events, such as attempts to gain unauthorised access to personal data and disruptions that can lead to mutilation or loss of personal data. The log files are periodically checked for indications of unauthorised access or unauthorised use of the personal data and where necessary action is taken.

4 What rights do you have?

We want to be transparent about how we use your personal data and we want you to have control about how we use your personal data. You may therefore:

  • ask us for a copy of the personal data we hold about you
  • change your account data yourself or inform us of any changes to your personal data and ask us to rectify or complete your personal data
  • ask us to erase your personal data or limit the processing thereof, or object to particular ways in which we are using your personal data
  • ask us to transmit your personal data to a third party
  • when we process your personal data on the basis of your consent, you may withdraw your consent at any time. Moreover, where we process your personal information based on legitimate interest, you have the right to object at any time to that use of your personal data.

We are committed to working with you to find a resolution to any complaint or concern you may have about our use of your personal data. If, however, you believe that we have not been able to assist with your complaint or concern, you have the right to file a complaint with a data protection authority.
