On behalf of our customer, the European Space Agency, we are on the lookout for a skilled Administration Team Coordinator. In this exciting role, you will have the opportunity to work directly at ESOC’s enchanting site in Darmstadt, serving as an essential pillar in our outstanding service to the European Space Agency.

This position has a key place in our excellent service of the European Space Agency, and you will guarantee the utmost level of excellence in customer service. Furthermore, you will bear the weight of responsibility for the meticulous reporting process and lend your support to Controlling and Accounting activities.


  • Manage a small team of administrators, acting as a line manager for the team.
  • Perform regular meetings with the team.
  • Ensure excellent quality of the service and team performance.
  • Responsible for monthly and ad-hoc reporting on the service status, as well as compiling reports for the customer.
  • Act as a contact point for the customer and internally.
  • Work as part of the team, taking on routine and ad-hoc administrative and office support activities.
  • Perform general administration tasks (organising business travel and training), maintain and validate financial data.
  • Provide support to controlling and accounting activities.
  • Manage licences from industrial vendors.
  • Maintain and perform consistency checks of databases.
  • Support the management of service contracts (e.g., preparation of responses to additional service requests from the customer).
  • Support procurement-related activities (e.g., GRN check, trigger renewals, attend POs)
  • Support the customer in supplier management, including correspondences.
  • Support customer regarding cost centre management.


  • Bachelor’s degree in administration or similar.
  • Relative experience in a secretarial or administrative assistant role.
  • Proactive organizational skills, with attention to detail and hands-on mentality.
  • Strong communication skills and ability to establish pleasant working interface in both internal and external communications.
  • Strong Microsoft Office skills, especially Microsoft Excel.
  • Fluent in English.
  • Fluent in German is an asset.
